Excel to PDF — online tool, included with Pro

Convert an Excel workbook (.xls or .xlsx) into a PDF that prints and shares cleanly — a quote, a budget, a schedule or a data appendix that recipients should read but not edit. Sheets are laid out using the workbook's own print settings, so page breaks, repeated header rows, gridlines and print areas come through as you set them in Excel. This conversion runs on our servers, so it needs a signed-in account with an active plan; your file is processed once, and the converted file is kept for up to an hour so you can download it, then deleted automatically.

Excel to PDF runs on our secure servers and is included with a CraftMyDocs Pro plan. Uploaded files are deleted automatically after processing.

  • Respects the workbook's print area, orientation and scaling settings
  • Repeated header rows and frozen panes appear on every printed page
  • Charts, conditional formatting and cell colours are rendered
  • Every visible sheet is included, in workbook order
  • Server-side processing with automatic deletion afterwards

How to excel to pdf

  1. 1In Excel, set the print area and page orientation for each sheet you want included, and hide sheets you do not.
  2. 2Sign in with an account that has an active plan and upload the workbook.
  3. 3Click Convert to PDF and wait for the job to finish.
  4. 4Download the PDF.
  5. 5Check wide sheets — if columns spill onto a second page, set Fit to 1 page wide in Excel and convert again.

Frequently asked questions

Why is my wide sheet split across several pages?

The converter follows the workbook's page setup. In Excel, open Page Layout → Scale to Fit and set Width to 1 page, or switch the sheet to landscape, then save and convert again. Setting a print area also prevents empty columns being included.

Are hidden sheets or hidden rows included?

No. Hidden sheets, rows and columns are excluded, exactly as when you print from Excel. Unhide anything you want in the PDF before uploading.

Do formulas convert?

The PDF shows the calculated values, as printing does. Formulas themselves are not visible in a PDF; keep the workbook if recipients need to see how figures were derived.

Can I convert a Google Sheets file?

Download it from Sheets as Microsoft Excel (.xlsx) first, then upload here. Sheets' own PDF export is also fine for a single sheet; this tool is most useful for multi-sheet workbooks with specific print settings.
